Dokile is a proprietary SaaS product engineered by EKLOMA for Lithuanian businesses and accounting practices. The platform eliminates the tedious routine of capturing, verifying, and processing incoming financial documentation and managing outgoing invoices.

Challenge

Standard invoice handling relies heavily on manual labour and creates operational bottlenecks:

- Hunting for invoice attachments across multiple email accounts.

- Tedious manual data entry of vendor details, totals, VAT calculations, and IBAN numbers.

- Handling multi-page scanned PDF files containing several distinct invoices stitched together.

- Transcription mistakes and severe workload pressure during month-end closing periods.

Solution

We engineered an automated end-to-end pipeline covering document capture, parsing, and export:

- Automated inbox ingestion: Dokile integrates directly with Gmail and IMAP servers to automatically monitor and extract incoming documents in PDF, JPG, and PNG formats.

- Intelligent splitting and parsing: Scanned batches containing multiple invoices are partitioned automatically. Utilizing Google Gemini, the platform reads vendor details, invoice numbers, VAT breakdown, IBANs, and itemised lines within seconds, converting foreign currency values according to official Bank of Lithuania rates.

- Automated verification rules: Built-in checks validate arithmetic balance, checksum algorithms for company registry codes and IBANs, and monitor vendor bank account changes. Discrepancies are highlighted for quick human review.

- Invoicing and accounting integrations: The platform includes outgoing invoicing, recurring billing, and direct exports for regional accounting suites (Optimum, Centas, APSA), i.SAF reporting, and Excel packages with document archives.

- Multi-client accounting hub: Bookkeeping firms can oversee all client portfolios under a unified dashboard, upload mixed document batches that are partitioned by buyer automatically, and track monthly reconciliation status.

Outcome

Dokile converts an error-prone, hours-long data entry cycle into a rapid verification workflow. Financial documents are gathered, parsed, and validated automatically, allowing companies and bookkeepers to export clean accounting data with minimal manual effort.
